Corporate Legal Assistant

Shuffield, Lowman & Wilson, a full-service AV-Rated law firm has immediate need in our Orlando office for a legal assistant. The successful candidate will have a minimum of 3 years transactional experience in Corporate and Estate Planning, with advanced level experience with MS Office (specifically in formatting, styles), strong communication skills and a professional demeanor. Must have excellent attention to detail, be a team player and have strong ability to multi-task. Position requires a pro-active individual, willing to anticipate the needs of several attorneys and know how to prioritize. Job duties will include, but not be limited to, calendaring appointments, fielding phone calls, drafting correspondence and documents, entering attorney’s weekly time records into record keeping software, linking documents and emails to universal case management system.

Corporate File Clerk

ShuffieldLowman, a full-service, AV-Rated law firm, has immediate need in our Orlando office for a File Clerk in our Corporate Department. General skills that come up frequently include attention to detail, especially when making binders, mindfulness, time management, and self-direction. Technical requirements include basic computer skills, Microsoft Office familiarity, and an ability to adapt on the job to software updates and changes.

Duties include, but are not limited to:

  • Make and maintain records of Corporate/EP/Guardianship/Probate file locations/ vault file locations
  • Handle file pull requests from Vault and 18th floor, retrieve, deliver, and update records (Joint responsibility with Erik), locate other active and inactive files upon request, handle general tasks related to locating, moving, and storing files
  • Scan and add documents to physical files as appropriate, maintain records of missing/ to be located files and records of documents to be filed
  • Create new physical files upon request
  • Create, and keep up to date, vault files of original EP documents
  • Close files upon request
  • Make EP binders (stamp, scan, copy, organize original and duplicate Estate Planning documents into binders, review and ensure documents are properly signed, printed, and ordered, and make corresponding records of EP documents in client file)
  • Attend documents signings, witness, notarize, and otherwise assist in keeping signed documents organized
  • Take over reception duties when requested (something that is listed as part of the file clerk job description but not something that I’ve personally done more than once)
  • Fax Filing corporate documents with FL Dept. of State (when Heather or Sara need assistance)
  • Data entry, spreadsheet maintenance, scanning and organizing whenever required
  • Self initiated organizational projects

File Clerk will may also be responsible for filing, creating indexes, preparing closing binders, post-closing duties, document organization, copying, faxing, scanning and additional office support as needed. Candidates must have strong attention to detail and be highly organized.
